Nepal Wanderlust Treks & Expedition

Welcome to Nepal Wanderlust Treks & Expedition. By making a booking with us, you acknowledge that you have read, understood, and agreed to the following Terms & Conditions.

These terms apply to all tours, treks, expeditions, cultural journeys, adventure activities, transportation, accommodation, and other travel services arranged by Nepal Wanderlust Treks & Expedition.

1. Booking & Confirmation

A booking becomes confirmed once we receive the required booking information and the agreed deposit or payment.

The services included in your booking will be specified in your itinerary, quotation, invoice, or booking confirmation.

Any special requests, including dietary requirements, room preferences, transportation requirements, or accessibility needs, should be communicated at the time of booking.

We reserve the right to decline or cancel a booking where circumstances make it impractical or unsafe to provide the requested services.

2. Prices & Payments

All prices are quoted in the currency stated in the quotation or invoice.

The required deposit and payment schedule will be communicated at the time of booking.

A booking may not be considered fully confirmed until the required payment has been received.

Any additional costs arising from changes requested by the traveler after confirmation will be payable by the traveler.

Prices may be subject to change before confirmation due to changes in government taxes, permits, transportation costs, hotel rates, airline charges, or other unavoidable cost increases.

3. Cancellation & Refunds

Cancellation policies vary according to the type of trip and the services booked.

Certain services, including domestic flights, international flights, permits, hotels, transportation, special events, and third-party services, may have their own cancellation and refund conditions.

Any applicable cancellation charges will be communicated at the time of booking or stated in the booking confirmation.

Where a refund is applicable, refunds will be processed after deduction of any non-refundable amounts, cancellation charges, bank charges, or costs already incurred on behalf of the traveler.

Some services may be completely non-refundable once confirmed.

4. Changes to Your Booking

We will make reasonable efforts to accommodate requests to change confirmed travel arrangements.

Changes may result in additional charges, including airline fees, hotel charges, transportation costs, permit fees, or other supplier charges.

Where a requested change is not possible, the original booking conditions may continue to apply.

5. Changes by Nepal Wanderlust

We make every reasonable effort to operate trips according to the confirmed itinerary.

However, itineraries may need to be changed because of weather, natural disasters, road conditions, flight schedules, government regulations, political or civil disturbances, health or safety concerns, or other circumstances beyond our reasonable control.

Where necessary, we may modify the itinerary, accommodation, transportation, activities, or schedule while making reasonable efforts to maintain the overall quality and purpose of the trip.

Any additional costs resulting from traveler-requested changes will be the traveler’s responsibility.

6. Domestic Flights & Mountain Flights

Domestic flights in Nepal, particularly flights to and from mountain destinations such as Lukla, are highly dependent on weather and operational conditions.

Delays, cancellations, diversions, or schedule changes may occur without significant advance notice.

We will assist travelers with reasonable alternative arrangements where possible. However, additional accommodation, meals, transportation, or other expenses resulting from weather-related or airline-related disruptions may be payable by the traveler unless otherwise stated in the booking conditions.

Travelers should therefore allow sufficient flexibility in their itinerary when connecting with international flights.

7. Trekking & Adventure Activities

Trekking, mountaineering, rafting, paragliding, bungee jumping, mountain flights, and other adventure activities involve inherent risks.

Travelers must understand that conditions in mountainous and remote areas can change rapidly.

Participation may require a reasonable level of physical fitness and preparation.

Our guides and representatives may modify or stop an activity if they believe that continuing would create an unacceptable safety risk.

No itinerary can guarantee specific weather conditions, mountain visibility, flight operations, trail conditions, or summit success.

8. Travel Insurance

Comprehensive travel insurance is strongly recommended and may be mandatory for certain trips.

Depending on the nature of your journey, insurance should include appropriate coverage for:

  • Medical treatment
  • Emergency evacuation
  • Trekking and adventure activities
  • Trip cancellation
  • Trip interruption
  • Flight delays or cancellations
  • Lost, stolen, or damaged baggage
  • Personal liability

Travelers are responsible for ensuring that their insurance policy provides adequate coverage for their specific itinerary and activities.

9. Health & Fitness

Travelers are responsible for determining whether they are physically and medically fit to participate in their chosen journey.

For trekking, high-altitude travel, and adventure activities, travelers should obtain appropriate medical advice before departure where necessary.

Travelers must inform us of any relevant medical, dietary, mobility, or other requirements that may affect the safe operation of their trip.

10. Passports, Visas & Travel Documents

Travelers are responsible for ensuring that their passport, visa, permits, vaccinations where applicable, and other required travel documents are valid and available.

Passport validity and visa requirements may vary depending on nationality.

We may provide general assistance or information, but the traveler remains responsible for complying with all applicable immigration and entry requirements.

11. Accommodation

Hotels and accommodation will generally be provided according to the category specified in the confirmed itinerary.

Where a particular property becomes unavailable due to circumstances beyond our control, we may arrange alternative accommodation of a similar standard where reasonably possible.

Room types, views, facilities, check-in times, and other hotel services are subject to the individual property’s policies and availability.

12. Transportation

Transportation arrangements may include private vehicles, tourist buses, domestic flights, helicopters, or other local transportation depending on the itinerary.

Vehicle type and capacity will be based on the confirmed itinerary.

Road conditions, traffic, weather, construction, landslides, strikes, and other circumstances may affect travel times in Nepal.

Estimated travel times are therefore not guaranteed.

13. Personal Belongings

Travelers are responsible for their personal belongings, valuables, passports, electronic devices, and luggage throughout the journey.

Nepal Wanderlust Treks & Expedition is not responsible for loss, theft, or damage to personal belongings except where liability cannot legally be excluded.

Travelers are strongly advised to use hotel safes where available and maintain appropriate travel insurance.

14. Force Majeure

We will not be liable for failure or delay in providing services where such failure or delay results from circumstances beyond our reasonable control.

Such circumstances may include, but are not limited to:

  • Natural disasters
  • Earthquakes
  • Floods
  • Landslides
  • Severe weather
  • Flight disruptions
  • Strikes
  • Civil unrest
  • Government restrictions
  • Border closures
  • Epidemics or pandemics
  • War or security incidents
  • Infrastructure failures
  • Other unforeseen circumstances

Where such circumstances occur, we will make reasonable efforts to assist travelers and find practical alternatives.

15. Traveler Responsibilities

Travelers are expected to:

  • Follow local laws and regulations.
  • Follow the reasonable instructions of guides and staff.
  • Respect local customs, traditions, religious sites, and communities.
  • Take reasonable care of accommodation and equipment.
  • Behave responsibly toward other travelers, staff, and local communities.
  • Provide accurate information required for booking and travel arrangements.

We reserve the right to discontinue services for a traveler whose behavior seriously threatens the safety, comfort, or wellbeing of other travelers, staff, or local communities.

16. Photography & Marketing

We may occasionally take photographs or videos during our tours and activities for promotional purposes.

We will seek appropriate permission before using identifiable images of travelers for marketing purposes where required.

Travelers who do not wish to appear in promotional material may inform us in advance.

17. Third-Party Services

Some services included in a trip may be provided by independent third parties, including airlines, hotels, transportation companies, activity operators, restaurants, and local service providers.

Their services may be subject to their own terms, conditions, safety procedures, and cancellation policies.

We will make reasonable efforts to work with reliable service providers but cannot control every aspect of third-party operations.

18. Complaints

If a traveler experiences a problem during the trip, they should inform our representative, guide, or operations team as soon as reasonably possible.

Prompt notification gives us the opportunity to investigate the issue and attempt to resolve it during the journey.

Complaints made after completion of the trip should be submitted to us in writing within a reasonable period.

19. Limitation of Liability

We will exercise reasonable care in arranging the services included in your booking.

However, we are not responsible for losses, delays, injuries, expenses, or disruptions arising from circumstances beyond our reasonable control or from the actions or omissions of independent third-party suppliers, except to the extent that liability cannot legally be excluded or limited.

Nothing in these Terms & Conditions is intended to exclude or restrict any legal rights or liabilities that cannot lawfully be excluded.

20. Privacy

Personal information provided to us may be used for the purpose of arranging and delivering travel services, communicating with travelers, processing payments, and fulfilling legal or operational requirements.

We will handle personal information in accordance with our applicable privacy practices and relevant laws.

21. Governing Law

These Terms & Conditions shall be governed by the applicable laws of Nepal.

Any dispute will first be addressed through good-faith communication and reasonable efforts to reach an amicable solution.

Where a dispute cannot be resolved amicably, it shall be subject to the applicable jurisdiction of Nepal, to the extent permitted by law.

22. Acceptance of Terms

By making a booking with Nepal Wanderlust Treks & Expedition, the traveler confirms that they have read, understood, and accepted these Terms & Conditions.

These Terms & Conditions should be read together with the traveler’s quotation, itinerary, invoice, booking confirmation, and any specific conditions provided for the particular trip.
